Privacy Policy
Introduction
Rotorua Homebased Childcare complies with the Privacy Act 2020 (the Act) when dealing with personal information. Personal information is information about an identifiable individual (a natural person).
This policy sets out how we will collect, use, disclose and protect your personal information.

Who do we collect your personal information from?
We collect personal information about you from:
- you, when you provide that personal information to us:
o For children enrolling with us - on the enrolment form and any contact with us (eg telephone call or email);
o For staff and educators – through the application process
- third parties where you have authorised this or the information is publicly available.
If possible, we will collect personal information from you directly.
How we will use your personal information
For children enrolling with us - we are collecting personal information for the purposes of providing early childhood education for your child which includes processing your application, administering and managing your enrolment including charging, billing and debt collecting; complaints or requests; notifying you of information relating to our service; sending newsletters and other marketing information; and internal research and planning.
For staff and educators – we are collecting personal information for the purposes of assessing suitability for a role within our service, including verifying your identity and safety checking in accordance with the Children’s Act 2014.
Disclosing your personal information
For children enrolling with us - details about your child’s identity will be shared with the Ministry of Education so that it can allocate a national student number for your child. This unique identifier will be used for research, statistics, funding, and the measurement of educational outcomes.
Your personal information may also be used if we are required to engage the services of a third party for the purposes of debt collection.
We will use and disclose your and your child’s information only in accordance with the Privacy Act 2020.
Protecting your personal information
We will take reasonable steps to keep your personal information safe from loss, unauthorised activity, or other misuse.
Such steps include:
- All personal information is kept in files which are stored in our office in a filing cabinet that is locked when not in use and only accessible to our office and management staff;
- Information is kept in Google Drive, which is password protected and only accessible by our office and management staff.
We keep your information for 7 years from last contact, at which point we securely destroy all forms of information held.
Accessing and correcting your personal information
Under the Act, you have the right to access and request correction of any personal information we hold about you or your child.

If we change our privacy practices, we will modify this Privacy Policy, so that you will always know what information we gather, how we might use it, and to whom we may disclose it. We will notify you of any material change to this Privacy Policy by emailing the new policy document, placing a notice on Storypark and providing all educators with a copy for viewing. We encourage you to review this Policy periodically to be informed of how we are protecting your information.
